To ensure the Tent Village remains safe for everyone, all teams bringing tents, gazebos or marquees must comply with the following requirements.
Permitted Tents & Marquees
Standard team marquees are permitted, typically:
- 3m × 3m gazebos/marquees
- 6m × 3m gazebos/marquees
- Similar-sized structures approved by event organisers
Larger or commercial-style structures must receive prior approval from Viking Cup organisers.
All structures must be in good condition and suitable for outdoor use.
Securing Your Marquee
Every tent or marquee must be safely and securely anchored at all times.
Teams must bring appropriate securing equipment for their structure. This may include suitable pegs, ropes, guy lines and/or approved weights, depending on the location and ground conditions.
Each leg of the marquee must be appropriately secured. Simply placing a marquee on the ground, using equipment bags, chairs, eskies or other loose objects as weights is not considered adequate.
Guy ropes and other fixings must not create unnecessary trip hazards. Where ropes or pegs extend into areas used by pedestrians, they should be clearly visible and positioned to minimise risk.
Teams must not drive pegs or stakes into any location where organisers have advised that underground services or other hazards may be present.
Wind & Severe Weather
Marquees can become extremely dangerous in strong or sudden wind.
Teams are responsible for monitoring weather conditions and ensuring their structure remains safe throughout the event.
If conditions deteriorate, teams must immediately take appropriate action, including removing walls, lowering the structure or completely dismantling it where necessary.
Viking Cup organisers may direct a team to lower, dismantle or remove a marquee at any time if it is considered unsafe. These directions must be followed immediately.
End of Each Day
At the completion of play each day, all marquees remaining onsite must be lowered to their lowest possible height.
Where practical, canopies should also be removed or otherwise secured to significantly reduce wind loading overnight.
No marquee should be left overnight at full height.
Loose items including chairs, signage, flags, banners, rubbish bins and other equipment must either be removed or securely stored.
Teams leave marquees and equipment onsite overnight at their own risk.
Location & Access
Marquees may only be erected within the designated Team Tent Village or another location specifically approved by event organisers.
Emergency access routes, pedestrian pathways, entrances, exits, first aid access and other designated clearways must remain unobstructed at all times.
Teams must keep their allocated area reasonably tidy and ensure rubbish is disposed of appropriately.
Team Responsibility
Each team must nominate an adult who is responsible for its marquee.
That person is responsible for ensuring the marquee is:
- correctly erected;
- appropriately secured;
- monitored during changing weather conditions;
- lowered or dismantled when required; and
- safely secured at the end of each day.
Viking Cup organisers reserve the right to require any tent, gazebo or marquee to be relocated, lowered, further secured or removed where there is a safety concern.
The Simple Rule
If you're unsure whether your marquee is secure enough, it probably isn't.
Please take a few extra minutes to secure it properly. With hundreds of players, families, volunteers and officials moving around the venue, a poorly secured marquee can quickly become a serious hazard.
